Position Overview:
We are seeking a highly organized and proactive Office Manager to join our team and oversee the administrative operations of our medical practice.
The Office Manager will play a key role in ensuring the efficient functioning of our office, supporting staff members, and maintaining high standards of patient care and service excellence.
Responsibilities:
Answer phone calls promptly and professionally, addressing patient inquiries, scheduling appointments, and providing assistance as needed.
Schedule patients efficiently, ensuring optimal patient flow and timely access to care.
Facilitate new patient onboarding processes, including intake forms, insurance verification, and case creation.
Verify auto insurance coverage for patients as needed.
Coordinate and send referrals for second opinions, imaging, and other specialty services as directed by healthcare providers.
Create and maintain a cleaning schedule for the office, ensuring cleanliness and compliance with sanitation protocols.
Manage inventory of office supplies and equipment, replenishing items as needed and overseeing budget allocations.
Oversee patient flow within the clinic, identifying opportunities for improvement and implementing solutions to enhance efficiency and patient satisfaction.
Attend weekly manager meetings to discuss operational updates, address concerns, and collaborate on strategic initiatives.
Pay clinic bills and manage accounts payable processes in a timely and accurate manner.
Attend weekly clinic staff meetings to provide updates, address concerns, and foster a collaborative team environment.
Qualifications:
Proven experience in office management or administrative leadership role, preferably in a healthcare or medical setting.
Strong organizational and multitasking skills, with the ability to prioritize tasks and manage competing priorities effectively.
Excellent communication and interpersonal skills, with the ability to interact effectively with patients, staff, and healthcare providers.
Proficiency in computer applications, including electronic health records (EHR) systems, Microsoft Office Suite, and practice management software.
Knowledge of healthcare regulations, compliance requirements, and medical billing processes.
Ability to work independently and as part of a collaborative team in a fast-paced environment.
