Summary: This Executive Assistant position reports directly to the CEO of Scan Design and provides administrative support to both the Scan Design home office and the Property Manager of the privately owned property management company associated with Scan Design.
Scan Design Home Office Support:
Provides CEO and COO with executive level support with administrative duties and tasks.
This includes broad areas such as reporting, research, organizing, communicating, and general administrative tasks
Conduct research, compile data, and prepare papers for consideration and presentation
Perform general office duties, such as ordering supplies, maintaining records management and database systems
Prepare agendas and make arrangements, such as coordinating catering for luncheons and/or other meetings / events
Provide clerical and administrative support to other departments as needed
Permanent or temporary duties as assigned
Knudsen Partner’s Support:
Provides support to the property manager as needed with administrative and other tasks
Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures
Research said improvement ideas and present to partners
Set up, oversee, and manage clerical or administrative activities and procedures for office
Prepare documentation for contracts, transactions, or regulatory compliance as needed
Will need to perform basic functions of the property manager role to cover during absences to maintain service levels to properties
Provide service as needed to any tenants arriving in person
Requirements:
The ideal candidate for this role will be detail oriented, professional, and adaptable with a wide breadth of experience.
Excellent communication skills, both verbal and written
Attention to detail and accuracy of work
Experience with MS office, mainly Excel and Google Suite is preferred
High school diploma or equivalent
Some knowledge of commercial real-estate and or property management preferred
