*Position Overview:*
We are seeking a dedicated and detail-oriented individual to join our team as a Broker Admin Support.
In this role, you will provide crucial administrative support to the broker, ensuring smooth operations and compliance within the real estate brokerage.
Your primary responsibilities will include assisting the broker with board memberships, agent onboarding, handling agent inquiries, managing IDX forms and transfers, auditing license expirations, and facilitating license renewals.
The ideal candidate will possess excellent organizational skills, strong attention to detail, and the ability to prioritize tasks in a fast-paced environment.
*Responsibilities:*
· Board Memberships: Assist the broker with the process of joining real estate boards and associations.
Coordinate paperwork, documentation, and membership fees, ensuring compliance with board regulations and requirements.
· Agent Onboarding: Support the broker in the process of onboarding new agents.
Assist with the necessary paperwork, background checks, and licensing requirements to ensure smooth agent integration into the brokerage.
· Agent Support: Respond to agent inquiries and tickets that require broker assistance.
Handle requests related to IDX forms, transfers, and other administrative tasks promptly and efficiently, maintaining a high level of professionalism and customer service.
· License Expiration Auditing: Regularly review and audit agent licenses to ensure compliance with state regulations.
Keep track of license expiration dates and follow up with agents to ensure timely renewals.
· License Renewals: Facilitate the license renewal process for agents within the brokerage.
Provide agents with the necessary information, forms, and guidance to ensure successful license renewal within mandated deadlines.
· Documentation Management: Maintain accurate and up-to-date records of agent licenses, board memberships, and other relevant documentation.
Ensure compliance with legal and regulatory requirements, maintaining confidentiality and security of sensitive information.
· Administrative Support: Provide general administrative support to the broker as needed.
This may include data entry, file organization, scheduling appointments, and other tasks to contribute to the overall efficiency of the brokerage.
*Qualifications:*
· High school diploma or equivalent; Real Estate License is preferred, candidates without a license who have prior real estate experience will be strongly considered in leu of license.
· 2+ years of previous experience in a real estate administrative role or similar position is preferred.
· Strong organizational skills with the ability to multitask and prioritize tasks effectively.
· Excellent attention to detail and accuracy in managing paperwork and documentation.
· Proficient computer skills, including knowledge of MS Office and real estate software.
· Strong communication skills, both written and verbal, to interact with agents and external parties.
· Familiarity with real estate licensing regulations and processes is beneficial.
· Ability to maintain confidentiality and handle sensitive information with discretion.
· Strong problem-solving abilities and the capacity to work independently and collaboratively.
