Property Coordinator
Reports to:
Property Management Director/Facilities Director & Coordinates with Property Managers
Job Description:
Assist in the property management department with record keeping, accounting, tenant & vendor
relations.
Duties:
* Ensure all Yardi property records include management agreement, tax identification, attorney, CPA, banker and insurance agent information, along with property insurance & liability policy, sales tax certificate and common area vendor contacts
* Ensure all utilities for vacant and common area suites are set up correctly in the Landlord's name.
* Common area accounts to be set up on autopay.
Provide new tenant’s with meter information and confirm utilities are transferred out of the Landlord's name.
* Ensure all Yardi tenant records have up to date certificates of insurance
* Ensure all Yardi vendor records are up to date with correct billing contact, liability insurance, W9 and copy of current contract
* Communicate with Vendors regarding missing payables
* Code all Yardi invoices to appropriate accounts per services performed, then send for approval
* Ensure all Yardi maintenance tickets are closed when invoices after coding
* Ensure Google Drive is kept up to date with department documents (templates, task list, etc) and property documents (agreements, leases, financials, inspections, etc)
* Record & deposit rent payments in Yardi made by check via bank or electronic deposit
* Record in Yardi electronic payments made for accounts payable
* Visit property when suite vacated to take photos, scan matterport, download floor plan to be entered into Buildout & Yardi
* Perform department administrative duties such as scheduling meetings, mailing documents, filling out necessary forms, etc
Skills & Qualifications:
* Minimum 5 years experience in office administration
* Proficient in Yardi Property Management software
* Proficient in Google Suite
* Proficient in Microsoft Office
* Ability to multitask
* Ability to work independently
* Ability to deal with crisis situations in a calm and professional manner
* Willingness to receive additional training & education
