We are looking to add an enthusiastic Real Estate Assistant to our team, who will enhance client experiences and manage the closing process.
The ideal candidate has extraordinary attention to detail, is great on the phone, has a dedication to customer service, a passion for helping others, has prior administrative experience working a law firmand managing a multi-line phone system.
You must be extremely detail oriented and organized, a team player willing to assist in other areas and complete additional tasks as needed, a problem solver who takes ownership of assigned tasks and possesses strong interpersonal skills.
You must also have proficiency with computer programs such as Microsoft Word, Outlook, and others.
Duties include but are not limited to: * Managing closing files from start to finish; * Preparing real estate closing documents for attorney review; * Managing time lines for real estate closings * Answering and directing calls on a multi-line telephone system; * Collecting intake information and scheduling new client consultations; * Sorting and distributing incoming mail and delivery packages; * Coordinating client appointments, closings and managing attorney’s calendar; * Opening and closing client files; * Entering client data into firm software programs; * Preparing written correspondence to clients and third-parties; * Experience with Qualia software; * Act as liaison for vendors and managing attorney; * Provide additional support to managing attorney, as needed for the smooth operation of the office.
