Description:
The Project Coordinator II is responsible for the daily oversight on projects covering a portfolio of commercial and residential properties.
This includes ensuring all work orders are handled, projects are kept on track with their deadlines and budgets and reporting is delivered to all project stakeholders.
The Project Coordinator II reports to the Operations Manager.
Essential Duties:
Assigns and monitors tenant work order and project requests.
Evaluates project requirements and develops the scope of work.
Solicits vendor bids that are in line with the approved project scope.
Coordinate’s contractors and vendors for the completion of each project.
Creates and manages project budgets in Excel.
Communicate updates with key internal/external personnel specific to projects.
Responsibilities:
Process, organize and maintain electronic files related to each maintenance and construction project.
Prepare updates on projects timelines and communicate to account management team members.
Input and update project progress in Yardi CMMS system.
Track ongoing project milestones and report on progress.
Review work orders system to ensure tasks are completed according to urgency and liability management.
Creates project schedules using work breakdown structure (WBS) and identifies the critical path.
Coordinate vendor scheduling, permitting, and completion of projects.
Act as the vendor point of contact and communicate project status to all participants.
Oversee cost controls on repair and maintenance expenses.
Competitively bid all contracts as requested by the account management team.
Ensure all service contracts are prepared with proper entities, COI’s are obtained and on file, scope of work is monitored and service fees tie to contract requirements.
Communicate effectively with the Assistant Operations Manager, Operations Manager, account management team and the Leasing team regularly to discuss project and expenditure updates as related to property performance.
Field work required for property site visits and vendor coordination for maintenance and projects.
Other duties as assigned.
Job Qualifications/Experience:
3+ years of proven work experience as a Project Coordinator or similar role.
Experience in project, or construction management, from conception to delivery.
An ability to prepare and interpret flowcharts, schedules and step-by-step action plans.
Solid organizational skills, including multitasking and time-management.
Strong teamwork skills.
Strong working knowledge of CMMS, Project Software, and AutoCAD a plus.
Hands-on experience with construction scheduling using work break down structure (WBS).
Proficient in Microsoft Office Suite applications.
Experience in the construction industry a plus.
Strong interpersonal, verbal and written communication skills.
Effective team player through collaboration and partnership.
Ability to analyze and problem-solve effectively; able to offer solutions to resolve issues.
Education:
Bachelor’s degree (BS/BA) with an emphasis in Construction, Real Estate, or related field, or equivalent combination of education and experience.
Language Skills:
Ability to read, analyze and interpret general business periodicals, business correspondence, and procedure manuals.
Reasoning Ability:
Ability to define problems, collect data, establish facts, and draw valid conclusions.
Ability to interpret an extensive variety of technical instructions in mathematical or diagram form.
